I Data Controller

II Scope of Data Processing

We process the following categories of personal data submitted voluntarily by participants through the nomination and application forms:

  • Name and surname

  • Position and company name

  • Type of company (startup, corporation, NGO)

  • Years of experience in IT/tech industry

  • Nationality

  • Email address and telephone number

  • Professional biography

  • Responses to narrative questions in the questionnaire

  • Commitment to the Initiative’s mission

  • Photo/image (portrait)

  • Any additional data you voluntarily provide

We may also process publicly available professional data (e.g., from corporate websites or LinkedIn) for verification and editorial purposes.

III Purpose and Legal Basis of Processing

Your personal data will be processed for the following purposes:

  • Preparing and publishing the Strong Women in IT 2025 – Global Edition report

  • Promotional and communication activities related to the report (including websites, social media, media releases, and presentations)

  • Managing your participation in the Initiative

  • Contact regarding your participation or related activities

The legal basis for processing your personal data is your freely given consent (Article 6(1)(a) GDPR). You may withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

IV Image (Photo) Processing

Your image (photo) may be processed and published only on the basis of explicit consent, expressed either by checking a designated box in the application form or by submitting a signed consent form. The image may be used in the report and in related promotional materials (e.g., social media, website, presentations, media releases).

V Data Retention

Your data will be stored for the duration of the promotion and availability of the report, which may span several years. We do not set a specific retention period, as archived editions of the report are kept accessible as part of the Initiative’s historical record. You may request data erasure at any time, subject to legal exceptions.

VI Data Recipients and Processors

We may share your personal data with trusted service providers (data processors) under data processing agreements compliant with Article 28 GDPR, solely for the purposes of executing the Initiative. These include:

  • IT and hosting service providers

  • Web and graphic design agencies

  • Printing and publishing services

  • Communication and mailing tool providers

All entities process data exclusively on behalf of the Organizer and are contractually obligated to ensure data security.

VII Data Transfers Outside the EEA

Some of our service providers (e.g., cloud providers or newsletter tools) may process data outside the European Economic Area (e.g., in the USA). In such cases, we ensure appropriate safeguards are in place, such as standard contractual clauses approved by the European Commission.
